SpecBot vs Proposify
Pick Proposify if you run a sales team that needs roles, approval workflows, account metrics, CRM integrations and design or onboarding help, and per-user pricing fits your budget.
Pick SpecBot if you work alone or in a small studio, want a free plan and one flat euro price, and need clients to accept a proposal in one click with a signed PDF for both sides.
Prices and features
Proposify publishes its prices in US dollars; SpecBot's are in euro. We list both as published and don't convert them.
| Proposify | SpecBot | |
|---|---|---|
| Plans and prices | Build: $49 per user/month monthly, or $35 per user/month billed annually ($420 per user/year); also $147 per user/quarter. Grow: $3,900/year including 5 users. Scale: $12,800/year including 10 users. Extra users on Grow and Scale: $780/year each. | Free: €0, 3 proposals and 3 AI drafts a month. Pro: €12/month, or €9/month billed yearly (€108/year), unlimited proposals and 50 AI drafts a month. |
| Seats | Priced per user. Collaborator seats (edit or approve, not send): 1 on Build, 3 on Grow, 5 on Scale. | One user per account; the price is per account. |
| Free plan | No free plan. 14-day free trial, no card needed. Sends are capped per month with per-send overage fees; the published send table uses older plan names (10, 30 and 75 sends). | Yes: 3 proposals and 3 AI drafts a month, with every feature. Plans differ only in those caps. |
| E-signature | Legally binding e-signatures on every plan; Build includes unlimited documents and signatures. Signature standard and QES: not published on the pricing page. | Click-to-accept: the client enters name, role and company and accepts; SpecBot records the time, IP and a hash of the accepted content and emails a signed PDF to both sides. No qualified signatures (QES). |
| CRM and payments | Integrations with CRMs, invoicing and payment tools; payments are processed by Stripe. Salesforce is a premium integration, included on Scale and an add-on otherwise. Which plan collects payments: not published. | Neither. No CRM and no payment collection. |
| Templates | Unlimited templates on all accounts and a template library. Custom template design: $1,500 on Build, part of the $2,000 Launch Kit on Grow. | Templates, plus a catalog of your services, prices and terms that every proposal draws from. On every plan. |
| AI, ChatGPT and Claude | AI writing in the editor. "AI + MCP server" on Build and up, for Claude (all Claude plans) and ChatGPT (paid ChatGPT plans with Developer mode). | Draft in the web app, by voice, or in ChatGPT and Claude via SpecBot's MCP server (OAuth sign-in). In ChatGPT, adding a custom app may need developer mode, depending on your ChatGPT plan. Prices come from your catalog, not from the assistant's text. |
Where Proposify is better
- Team control: user roles and permissions, approval workflows by price or discount, account metrics, multiple workspaces, custom reporting and SSO on the higher plans.
- A drag-and-drop document editor with embedded video, interactive quoting where buyers pick options and quantities, client input forms, and per-section document analytics.
- CRM, invoicing and payment integrations, plus a workflow automation builder. SpecBot has no CRM or payments.
- Services around the software: custom template design, onboarding, and a dedicated success manager on Scale.
- Security paperwork it lists: SOC 2 Type II and GDPR.
Where SpecBot fits
- You don't need a team account. SpecBot is one flat price, €12 a month or €9 a month billed yearly, and there is a free plan with 3 proposals a month.
- You sell a known set of services. They live in a catalog of offers with prices and terms, and each proposal takes its line items and totals from there.
- You want to draft in ChatGPT or Claude, by voice, or in the web app. Both products connect to Claude and ChatGPT over MCP; with SpecBot the assistant writes the text and the prices come from your catalog.
- Your client accepts in one click on a share link with no account, and both sides get a signed PDF.
- Not a fit if you need approvals, roles, CRM sync, payments or a designed template service.
